Add a meeting room, board room, or event hall to andcards in a few simple steps.


Enable Rooms

  1. Go to Locations > Settings > Rooms and enable this page.

  2. Set room's page schedule. In "Default" value specify the available days and time for members.

  3. Press "Enable Public Schedule" and specify the available days and time for bookings for external customers.

  4. Select "Book Ahead" to specify for how much time in the future your app users can book.

  5. Manage "Book for Free" if any of your rooms are totally free and you want to restrict free room bookings.

Add rooms

  1. Open Rooms and press + in the top right corner.

  2. Fill in room details:

    • Room photo in 2x1 format.

    • Name — the name of the meeting room.

    • Seats — the quantity of spaces for people to occupy.

    • Availability increments — the frequency of available time for room booking. It shows up as a step on booking.

    • Minimum booking time.

    • Maximum booking time.

    • Preparation time — the period of time that will be reserved between bookings.

    • Rescheduling Policy — the period no-refund and no rescheduling time if a booking is deleted before it starts.

    • Description — any details about the room you want members to see on the app.

    • Credits, ☆/hr — if Credits are enabled in your location state amount of credits required to book one hour.

    • Price, $/hr — the amount of your local currency required to book one hour. The $ symbol will be replaced with a symbol of your local currency.

    • Abandoned Booking Protection — automatic removal of ghost bookings from the room's calendar if nobody checks in. Available only with a meeting room display.

    • Limited Access — limitation of room visibility to selected companies. Understand visibility settings.

  3. Press Save in the top right corner.

FAQ

What should I add to the Rooms?

The Rooms page serves for your meeting and conference rooms, phone booths, and skype rooms. If you have any photo studios or podcast studios, offer them on the Rooms page too.

How can I block off rooms from bookings for several days?

If you are having an event in the space, or holidays are coming, you can block off the rooms and desks from bookings by your customers. For this, as an administrator go to Locations > Rooms page > select the necessary dates and create free bookings. As an admin, you will see a "Free" payment method and you can use it an unlimited amount of times.

How can I check the user's room bookings in the app?

Quickly check and verify your customers' booking in any of these ways:

  1. Navigate to Locations > Rooms > open the room which your nonmember booked and check the calendar. By opening a room booking, you'll find all information about the booker.

  2. Visit the Notifications page to see all bookings according to your notification settings. Manage notifications

  3. Ask your customer to show you the booking right in their web or mobile app on the Account page > Room Bookings > open a booking for the necessary day.
