Preregister visits and approve visit requests
Updated over a week ago

Members and administrators can register visitors coming to the space for a host.

There are two ways of registering a visitor in the system:

  • Preliminary preristration

  • Approval of incoming requests to visit a space

How to preregister visits

Users can preregister visitors to facilitate a speedy check-in.

To preregister a visit, follow the following steps:

  1. Go to Visitors page.

  2. Tap Register Visit top right.

  3. Fill in visit details:

    – First name
    – Last name
    – Email — used for sending visit details.
    – Phone number
    – Visit date — visit code is valid only on the selected date.
    – Visit comment - the option to add a comment is only available for administrators, and the comment appears in the email the visitor receives.

4. Press Register.

Upon registration, a visitor will get an email with a 6-digit visit code. The code is used for check in and out at the visitor display. If the code is lost, it can be viewed by the user on the visit details page.

How to approve visit requests

If a visitor comes without preliminary registration, they can request approval of their host using the visitor display.

To request a visit, guests do the following:

1. Navigate to the reception tablet and tap Check In.

2. Hit "No" fill out their personal information and select a host.

The receiving user (host) will get a push notification prompting to review the request.

If a visit request is approved, a visitor receives an email with visit details. If a visit request is rejected, a visitor is notified of the rejection by email. If no action is taken, the visit request remains on the Requests page.

All approved and registered visits are available for download using custom reports.
